Udhaar tracking guide

Digital khaata for customer udhaar and repayments

Keep credit sales and repayments with each customer’s history, so the current outstanding balance is easier to understand.

Replace scattered notes with a customer ledger

A paper notebook can record udhaar, but it becomes difficult to search when the same customer buys repeatedly, makes partial repayments or asks about an older entry. A digital khaata keeps those movements together under the customer record.

Retailer360 connects customer management, invoices and khaata entries. When a sale is recorded against khaata, the outstanding amount can remain associated with that customer. When money is received later, the repayment can be entered so the balance reflects the change.

Scope: Digital khaata is a record-keeping feature. Retailer360 does not lend money, collect a customer’s debt or guarantee repayment.

A clear udhaar workflow

  1. Create the customer record. Use a consistent name and phone number so future transactions are attached to the right person.
  2. Create the sale. Add items manually, scan a product barcode or prepare a draft with voice billing.
  3. Choose khaata as the payment mode. Confirm the part of the invoice that remains unpaid.
  4. Review the customer balance. Check the invoice and previous entries before discussing the outstanding amount.
  5. Record repayments. Add each amount received so there is a chronological trail rather than an overwritten total.
  6. Reconcile regularly. Compare the ledger with actual receipts and correct mistakes while the transaction is still recent.

Why invoice-linked khaata is useful

A standalone balance tells you how much is due, but not always why. Keeping the credit sale connected to an invoice makes it easier to trace the date, products, tax and original total. That context can reduce confusion when a customer has several purchases and repayments.

The same customer record can also hold contact information and past bills. Retailer360’s billing flow supports cash, UPI, card, bank transfer and khaata tracking, helping the shop record how each transaction was settled.

Good habits for a reliable digital ledger

  • Confirm the customer identity before adding a credit sale.
  • Record payments on the day they are received and use the actual amount.
  • Do not delete or change historical entries merely to force the displayed balance.
  • Review corrections with staff who have access to the account.
  • Protect customer information and give staff only the permissions they need.
  • Use invoice PDFs and optional Google Drive backup as supporting records where appropriate.

Use khaata with GST-ready billing

The payment mode and the tax invoice serve different purposes. A sale can be recorded as credit while its invoice still includes the appropriate business, product and tax fields. Read the GST billing guide for the fields Retailer360 supports and the checks a merchant should make.

Common questions

Does Retailer360 send or collect money?

No. The khaata feature records balances and repayments. It is not a lending or debt-collection service.

Can staff see customer balances?

Staff access depends on the module permissions assigned by the shop owner. Review those permissions before giving an account to a team member.
